How-to guide

How to migrate from Pardot (Account Engagement) to HubSpot

Pardot to HubSpot migrations look simple on paper and become complex in practice. The data move is straightforward; the automation rebuild and the Salesforce integration cutover are where most projects underestimate scope.

Steps

  1. 1

    Inventory everything in Pardot

Lists, segments, automation rules, engagement programs, dynamic content, scoring categories, and the Salesforce sync configuration. Each one is a migration decision.

  2. 2

Design the destination model in HubSpot

Properties, lists, workflows, and lifecycle stages designed to fit the operation rather than mirroring Pardot. The migration is the right time to rebuild what was always wrong.

  3. 3

    Stand up HubSpot in parallel

Configure HubSpot in a sandbox or production-staged environment with the new data model and a representative data sample.

  4. 4

    Rebuild Salesforce sync against HubSpot

The Salesforce side has to be reconfigured to point at HubSpot's connector. Plan this carefully: most production environments need a defined cutover window.

  5. 5

    Migrate data in waves

Historical contacts and accounts first, then active engagement data, then in-flight programs. Validate each wave before proceeding.

  6. 6

    Cut over

Pardot moves to read-only, HubSpot becomes the live sender. Keep Pardot read-only for the agreed reference period before final decommission.

  7. 7

    Rebuild reporting

HubSpot reporting against the new data model. Bridge reporting that spans both systems for the months that crossed the cutover.

Frequently asked questions

QHow long does a Pardot to HubSpot migration take?+
Twelve to twenty weeks for a typical mid-market environment, including the parallel build and the staged cutover.
QCan we keep Salesforce as our CRM during this?+
Yes, and most clients do. The migration is between marketing automation platforms; the CRM stays in place.
QWhat about historical attribution data?+
Preserved through the migration with explicit decisions about how it interoperates with new HubSpot attribution. Bridge reporting handles the cutover quarter.
QShould we keep Pardot live during the migration?+
Yes, in send mode through the parallel build. Cut over in one window once HubSpot is fully validated.
